The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

Where the deposit is coming from, set out plainly. Each source gets a line with who holds it, the reference, the amount, the evidence you have and when it will be available. The sheet totals the funds and shows any surplus or shortfall against what you need.

Buyers preparing for the source of funds questions their solicitor or lender will ask, especially where the money comes from more than one place.

What this helps you track

  • The deposit required and the amount due at exchange
  • Every source of the money, from savings to gifts and sale proceeds
  • Who holds each source and which account or reference it sits in
  • The evidence you hold for each one, such as statements or a gift letter
  • The total available and any surplus or shortfall

How to use it

  1. Write the buyers' names, the deposit required and the amount due at exchange at the top, using the figures your solicitor or lender gave you.
  2. Give each source of money its own line, choosing the type and naming who holds it.
  3. Enter the account or reference and the amount you expect to use from that source.
  4. Note the evidence you hold, such as statements covering the period asked for, and the date the money will be available.
  5. The totals, the gifted amount and the surplus or shortfall are worked out in the browser and the workbook; on paper, add the amounts and subtract the deposit.
  6. Ask your solicitor exactly what evidence they need, and keep copies with this sheet.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Why do solicitors ask where the deposit comes from?

Solicitors and lenders are usually required to check the source of money used in a purchase. The exact checks differ by country and firm, so ask yours what they need to see.

How should I record a gift from family?

Choose gift as the source, name the person giving it in the holder column and note any letter or declaration you have. The summary shows the gifted total separately, as it is often asked about.

What counts as a shortfall?

The total of the amounts you entered minus the deposit required at the top. A negative figure means the sources listed do not yet cover the deposit you entered.

Should I include account numbers?

A partial reference, such as the bank name and the last few digits, is usually enough to identify an account on this sheet. Keep the sheet somewhere private.
