The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Who this is for

What a child's sport really costs in a season. Each club gets a line, every fee is logged with its due and paid dates, and each piece of kit is listed with its size and whether it needs replacing, so the totals are there when the next subs reminder arrives.

Parents of children who play one sport or several, parents who split club costs with a partner or grandparent, and anyone trying to see where the activity money goes.

What this helps you track

  • Every club or activity the child does this season
  • Subscriptions, match fees and extras, with the date due and the date paid
  • Which fees are still owed and who paid the ones that are not
  • Kit bought, its size and which pieces are close to being outgrown
  • What each club costs and what the whole season comes to

How to use it

  1. Write the child's name and the season or year at the top.
  2. Give each club a line in the first table, with the day it runs and a contact.
  3. Log every fee as it is asked for, with the date due; tick it and add the date when it is paid.
  4. Add each piece of kit as it is bought, with the size, the club it is for and what it cost.
  5. Tick 'Replace' when something is too small or worn out, so the next shopping list writes itself.
  6. Copy each club's fee and kit totals into the first table; the owed column, the totals and the summary are worked out in the browser and the workbook.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

How do I see what one club costs?

Add up that club's fees and kit, which the workbook does quickly if you filter the club column, and write the two figures on its line in the first table. The total column and the season total then work themselves out.

What counts as outstanding?

Any fee without a tick in the paid column. The owed column shows the full amount until the tick goes in, so the summary gives the figure still to find this season.

Does it suggest what clubs should charge?

No. Every amount on the sheet is one you copy from the club's own letters or payment app. There are no typical prices or subscription figures anywhere on it.

Can I use one sheet for two children?

It works best as one sheet per child, because sizes and clubs differ. If you want a household view, keep a sheet each and add the season totals together.
