Who this is for

Sort the month out before it goes in the calendar. Parents bring their own diaries, work, school and club dates go on one list, and each line gets someone taking, someone collecting, and a tick when it has been added to the shared calendar.

Two-parent and co-parenting households, and anyone juggling work rotas, school letters and club timetables who needs one agreed version of the month.

What this helps you track

  • Every date for the month from each person's diary on one list
  • Who is taking and who is collecting for each event
  • Clashes, spotted before the day rather than on it
  • Which dates have made it into the shared calendar
  • Clashes still unresolved and the cover they need

How to use it

  1. Write the month, the family members and the name of your shared calendar at the top.
  2. Sit down together with work rotas, school letters and club timetables and list every date on the sheet.
  3. Agree who is taking and who is collecting for each one, and tick clash wherever two things overlap.
  4. Move each unresolved clash into the lower table with the cover it needs and who might help.
  5. Enter the agreed dates in the shared calendar and tick added as you go, on paper or in the browser version.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The online version keeps what you enter in your own browser and builds the completed PDF on your device.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Why not just put everything straight in the shared calendar?

Because the calendar shows events, not agreements. Going through the month together first is where clashes and missing lifts come to light, and only the agreed version goes in.

Which calendar app does this work with?

Any of them, or a paper calendar on the wall. The sheet only records what was agreed and whether it has been entered; it does not connect to anything.

How often should we do this?

Whatever suits your household. Many families do it once near the end of the month for the month ahead, and revisit the clashes table in the middle.

Can separated parents use it?

Yes. Each parent brings their own dates and the taking and collecting columns make the arrangements explicit. The co-parenting handover sheet covers the handovers themselves.
