The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

The cash count for a sale with several stalls. Each stall or table gets a line for the float it was given, the cash in the tin at close and any costs, so the organiser can report what each stall and the whole sale raised.

Organisers and treasurers of jumble sales, bake sales, table-top and nearly-new sales run by schools, clubs, churches and community groups.

What this helps you track

  • The float handed to each stall at the start
  • The cash counted at each stall at close
  • Takings per stall, with the float taken off
  • Stall costs such as ingredients or table hire, and the net raised
  • Which floats have come back, and the stall that raised most

How to use it

  1. Write the organisation, the event, date and venue, and the names of the two people counting and checking.
  2. Before opening, write each stall and stallholder and the float given to them.
  3. At close, count each tin with two people present and enter the cash at close; takings and net are worked out in the browser and the workbook.
  4. Enter any costs the stall paid out, such as ingredients bought or a pitch fee, and tick float returned once it is back in the cash box.
  5. Check the total net against the cash to be banked, and both people sign the sheet.
  6. Record the total in the cashbook and keep the sheet with the paying-in slip.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

Why take the float off the cash count?

The float was the organisation's own money to begin with, so it is not money raised. Takings are the cash at close less the float, and the float goes back into the cash box once counted.

What counts as a stall cost?

Anything paid out to run that stall that you want shown against it, such as ingredients a baker is reimbursed for or a table fee. Donated goods cost nothing and need not be entered.

Why two people counting?

It protects the volunteers as much as the money. Many groups' own procedures ask for two unrelated people to count and sign; check what your constitution or treasurer asks for.

Can card payments go on the sheet?

Yes. Add card takings to the cash at close figure for that stall and write the card amount beside the stall name, so the banked cash and the card total can be checked separately.
