Free printable school run rota — the week down the side, who takes, who collects, the backup and a phone number against each day. PDF and browser.
One page. The A4 and US Letter files are laid out identically, so neither is shrunk to fit.

The week already printed down the side, with a line for who takes them, who collects them, who steps in if that falls through, and a number that will be answered. One sheet on the fridge settles most of the arguments a shared school run produces.
Households sharing the run between two parents, families in a rota with neighbours or grandparents, separated parents working to an agreed week, and anyone who has to leave a written arrangement with a school office.
The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The online version keeps what you enter in your own browser and builds the completed PDF on your device.
Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.
A chore rota shares work inside a house. This one is about two fixed times a day, other people's children, and a school that needs to know who is allowed to collect. The backup and phone columns are the parts that matter.
You can hand one in, and many offices will take it, but every school has its own collection and permission paperwork and that is what they will act on. Check what yours needs — this sheet does not replace it.
Fill in the usual week once and log the swaps underneath as they happen. The value is in having a default everybody agreed to, so a swap is a change to something rather than a negotiation from nothing.
Yes — name both at the top and use the notes column on each day to say which. If the runs barely overlap, two printed sheets are usually easier to read than one crowded one.
Some families agree a word with the children so an unexpected collection can be checked. It is entirely optional, and if you use one, keep the filled sheet somewhere sensible.
Every club with its day, time and venue in one place.
Every booking with its date, the sitter and the hours worked.
Who to ring about a person, with the relationship and two numbers each.
Printable sheets, workbooks and tools on the same subject.
Publish a volunteer rota far enough ahead that people can swap, with the swap recorded on the sheet.
Record contact with home factually, so what was said and agreed is on paper rather than in two different memories.
Every sheet, binder, game and puzzle on Upkeep Papers is free to download, with no email and no account. Making them is not free: each one takes days of research, design and checking, and the site costs money to run. If something here saved you time, you can buy us a coffee. It is entirely optional: nothing is locked, and nothing changes if you don’t.
Opens PayPal in a new tab. Any amount, and nothing changes if you would rather not.
