Fillable PDF type and save

Spreadsheet formulas included

The fillable versions have real form fields — open them in any PDF reader, type into them and save. Printing help.

Fill it in online

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

Every club on one page: which day, what time, where, who takes them, what has to be in the bag and what it costs for the term at the figure you were given. The costs total themselves, which is usually the moment a family finds out what the term actually comes to.

Parents running several children between clubs, households working out what a term costs before signing up again, and anyone who has to tell a grandparent or a sitter where a child is supposed to be on a Thursday.

What this helps you track

  • Every club with its day, time and venue in one place
  • Who is taking and collecting for each one
  • The kit and money that has to go with them
  • What each club costs for the term, as you were told it
  • The termly total, and which ones have been paid

How to use it

  1. Fill in the child, the term and the currency at the top so the figures below read the same way.
  2. Add a line per club: the day, the start and finish times, and the venue as somebody unfamiliar would need it written.
  3. Put the cost for the term in the cost column — whatever figure the club gave you, not an estimate.
  4. List the kit in the kit column plainly enough that the bag can be packed by someone else.
  5. Tick paid as each one is settled, and note the date or method in the notes column.
  6. Read the total at the foot of the cost column; the browser and spreadsheet versions add it up as you type.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

What do children's clubs cost?

We have no idea, and there is no figure on this sheet that we put there. Every amount comes from what your own club told you, typed into the cost column.

Is the total per term or per year?

Per whatever period you wrote in the term field at the top. The sheet adds the column up and makes no assumption about how long a term is — if you want a year, print four and add the totals, or put the yearly figure in and label it.

Can I use one sheet for two children?

You can, by naming both at the top and putting the child in the notes column, but a sheet each is easier to hand to a grandparent. Most people print one per child and keep them together.

What about clubs that run for part of the term?

Write the dates in the notes and put the amount you were actually charged in the cost column. The total is only ever a sum of what you typed.

Does it track attendance?

No — this is the schedule and what it costs. A register or an attendance record is a different sheet, and mixing the two makes both harder to read.
