The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

One stockist, one sheet. Every delivery of sale-or-return stock gets a line showing what was left, what has sold, what came back and what is still on the shelf, and the money columns work out the shop's commission at your agreed rate and the amount due to you.

Makers, artists and small producers who leave work with shops, galleries, cafes or craft centres on sale or return and need to know at a glance what each one owes.

What this helps you track

  • What was delivered to each stockist, and when
  • How many of each item sold, came back or are still on the shelf
  • Gross sales and the stockist's commission at your agreed rate
  • The amount due to you, and what is still unpaid
  • A clear record to agree with the stockist before each settlement

How to use it

  1. Use one sheet per stockist. Write their name, contact, the commission percentage you agreed with them and the settlement terms at the top.
  2. Add a line for each item on each delivery: the date, the item, how many you left and the retail price it is sold at.
  3. When the stockist reports sales, fill in the quantity sold, and note anything collected or sent back as returned.
  4. Remaining stock, gross sales, commission and the amount due to you are worked out in the browser and the workbook; on paper, work them out line by line.
  5. Enter what the stockist has paid you so far in the header, and the summary shows the balance still owed.
  6. Take a printed copy when you visit to count stock, or fill it in online, where it saves in your own browser.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

What commission should I agree with a shop?

That is between you and the stockist, and it varies widely. The sheet has no default: enter the percentage in your own agreement and every calculation uses it.

Is the retail price what I charge the shop?

No. On sale or return the stockist usually sells at a retail price you agree together and keeps their commission from it. Enter that shelf price; the amount due column is what is left after their share.

How do I record stock I have moved to another shop?

Enter it as returned on this stockist's sheet, then add it as a new delivery on the other stockist's sheet. That keeps each shop's remaining stock and balance correct.

Can the stockist sign the sheet?

Yes. Many makers print it at each stock count and ask the shop to initial the figures before the settlement is paid, which avoids disagreements later.
