One page. The A4 and US Letter files are laid out identically, so neither is shrunk to fit.

The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

Everything made and ready to sell. Count each product and where it is held, and the inventory values the stock at what it cost you and at its retail price, and flags lines that have fallen below your own reorder point.

Makers with stock spread between the studio, fair boxes, stockists and online listings who need one count that shows what they have and what it is worth.

What this helps you track

  • Each product and variant by SKU and where it is held
  • Quantity on hand against your own reorder point
  • Stock value at cost and at retail for each line
  • Items made only to order, kept on the list with no stock
  • Totals for items on hand and lines that need making again

How to use it

  1. Write the business name, the date of the count and who counted in the header.
  2. List each product and variant on its own line, one line per location if it is held in more than one place.
  3. Choose the location, count what is there and write the quantity and your reorder point.
  4. Add the unit cost from your costing sheet and the retail price you sell at.
  5. Stock values and the low-stock flag fill in by themselves in the browser and the workbook; on paper, multiply the quantity by each price.
  6. Count again before each fair or season and after a big stockist order.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

What is the unit cost?

What one item costs you to make: materials, your labour and a share of overheads, taken from your own costing. The inventory multiplies it by the quantity and does not supply any cost.

How do I record items made to order?

Choose Made to order as the location and leave the quantity at zero. The product stays on your list so nothing is forgotten, without adding to the stock value.

How is a reorder point chosen?

It is the quantity at which you want to start making more, based on how fast an item sells and how long a batch takes you. Set your own; the sheet only flags lines below it.

Should stock at a stockist be counted?

Yes, if it is on consignment and still yours until it sells. Give it its own line with the stockist as location so you can see how much of your stock is out of the studio.
