The same sheet, on screen. Totals and figures are worked out as you type, rows can be added or removed, and you can print it or download the completed version as a PDF. Everything stays in your browser — your entries are kept in this browser's own storage on this device, nothing is uploaded, and there is no account.

Who this is for

One list for shops and for your own sales. Each product has a code, a wholesale price, a recommended retail price, pack size and lead time, and the sheet works out your margin and the shop's from your own cost figures.

Makers starting to sell to shops and galleries, and those who already do and want their wholesale terms, prices and margins kept together and up to date.

What this helps you track

  • Your terms: minimum order, payment terms and the date prices apply from
  • Every product with its code, pack size and lead time
  • The wholesale price and recommended retail price for each
  • Your margin at wholesale, from your own unit cost
  • The shop's margin at your recommended retail price

How to use it

  1. Write your business name, the date the prices are valid from, your minimum order and your payment terms.
  2. List each product with its code, the unit cost from your costing sheet, your wholesale price and your recommended retail price.
  3. Add the pack size shops must buy in and your lead time for each product.
  4. Read your margin and the shop's margin on each line, worked out in the browser and the workbook; check the averages in the summary.
  5. For the copy you send to shops, hide or delete the unit cost and your margin columns so only the prices and terms remain.

Formats

  • Printable PDF (A4 and US Letter)
  • Fillable PDF with form fields
  • Fill in online, saved in your browser
  • Excel / Google Sheets workbook

The printable is laid out inside a box that fits both A4 and US Letter, so the two files are identical and neither one is scaled. The fillable PDF has real form fields. The workbook uses plain formulas only — SUM, IF, COUNTIF and the like — so it opens in Excel, LibreOffice and Google Sheets without anything breaking, and every calculated cell is grey so you can see which figures it worked out.

How to print

Download the A4 or US Letter file to match the paper in your printer, open it in a PDF reader and print at 100% — not "fit to page", which shrinks the writing space. Both files leave a 14 mm margin, which clears the unprintable edge on home printers. To print the online version with your entries in it, use the Print this sheet button, which prints only the sheet and none of the page around it. More on printing.

Questions

How are the two margins worked out?

Your margin is wholesale price less unit cost, as a percentage of the wholesale price. The shop's margin is recommended retail price less wholesale price, as a percentage of the retail price. Both use only the figures you enter.

What margin do shops expect?

It varies by shop, product type and country, so the sheet does not suggest a figure. Ask the shops you want to work with, and use the shop margin column to see what your prices offer them.

Should the unit cost be on the list I send out?

No. The cost and your margin are for you. In the workbook, hide those columns or save a copy without them before sending; on paper, print the list and fill in only the customer-facing columns.

How often should I update the list?

Whenever your costs or prices change. The valid from date at the top tells a shop which list is current, so change it each time you issue a new one.
